In alignment with our commitment to operational excellence, transparency, and supportive relationships; we are implementing several updates to enhance clarity and accountability in our HR processes. Managers were sent an email last month outlining changes regarding staff transfers, rehire eligibility, hourly employee assignments, and supplemental pay approvals. Here is an overview of the processes undergoing updates:
Location Change and Staff Transfers to New Managers
The “Change Job” function in Workday does not require approvals for manager or location changes . While beneficial for hourly or shift workers, this has led to challenges including miscommunication and unexpected transitions, particularly with full-time staff. The new, approval-based process for employees changing locations or transferring to new managers. ensures consistency, supports ADA accommodations, and promotes clear communication in all transfer decisions.
Hourly/Temporary Employee Assignments
To maintain accurate records, HR will conduct semi-annual reviews of hourly/temporary assignments and annual reviews of adjunct assignments. Assignments will be ended in Workday if an hourly employee has not worked or received pay for one full semester or an Adjunct/Continuing Education Instructor/Adult Education Instructor/Hourly Interpreter who has not worked or received pay for one full fiscal year
Rehiring of Prior Workers
We have updated our employee rehire eligibility guidelines. Employees who were terminated involuntarily (or voluntarily under Job Abandonment) are generally eligible for rehire.
Workday now supplies information showing whether a former employee is recommended for rehire, “may be” recommended, or “is not” recommended. Hiring managers are prompted to consult their HR Business Partner when advancing a former employee to the interview phase.
Optional Candidate Rating Feature in Workday
We have introduced an optional Candidate Ratings feature in Workday, allowing managers and search committee members to evaluate and pre-screen candidates using predefined templates tailored to educational qualifications.
