ACC Access Cards: FAQs

What is an employee ACC Access Card?

Each ACC employee shall have an ACC Access Card. Each card contains the employee’s photo, legal name and identification number. Depending on your job function, the card may be for identification only, used for entering locked areas and/or the ability to unlock and lock appropriate doors.

Why does ACC require employees wear their ACC Access Cards while on campus?

To enhance the level of safety and security of the ACC community, Employee Access Cards are distributed and required to be worn by employees while on campus.

How do I get a new or replacement ACC Access Card?

The process to obtain a new or replacement ACC Access Card starts with the employee’s supervisor filling out the District Access Form.

Once this form is completed, ACC Security Management will contact the employee by email within 3 business days to receive their ACC Access Card. If the employee does not receive notice within three business days, please contact Security Management at ext. 3-7277.

Where and when can I get a new or replacement ACC Access Card?

Employees may visit any Campus Manager’s Office throughout the District to have their photograph taken for the issuance of a new or replacement ACC Access Card. Once the photo has been captured, the card will be processed and issued accordingly..

Please refer to the locations and hours of operation listed below. To ensure staff availability, it is recommended that employees contact the Campus Manager’s Office in advance to confirm office hours and arrange a convenient time for service.

How do I know if the current card I have is actually an Access Card vs. ID only?

Some employees may have older ID cards that are not capable of receiving electronic access. You can determine whether your ID card is capable of receiving electronic access by looking at the back of your card. Look for a five-digit number.

If there is not a five-digit number you will need a new card. The supervisor will then need to complete the District Access Form.

What should supervisors put on the form when unsure which door(s) an employee will need access to?

Supervisors should provide the campus, building, and room number(s) the employee is expected to access as part of their job duties. This information allows Security Management to determine and assign the appropriate access levels.

If additional information is needed or the requested access requires clarification, Security Management will contact the supervisor directly to review the employee’s operational needs and ensure the proper access is assigned.

What is the responsibility of supervisors when their employees are leaving ACC?

Supervisors are responsible for collecting all ACC Access Card at or before the employee’s exit interview.

Access cards may be collected directly by the supervisor, or the supervisor may escort the employee to the Campus Police Office to ensure all issued items are properly returned prior to separation from the College.

What should I do if my ACC Access Card has been lost/misplaced/stolen?

If your ACC Access Card is lost or stolen, you must immediately report it to District Police. District Police will generate an incident report and provide you with an incident report number.

To obtain a replacement access card, your supervisor must submit a new District Access Form and include the incident report number as part of the request.

Once the request has been processed, Security Management will notify you via email when your replacement access card is ready for pickup.

Do I need to fill out the District Access Form each time I want to change access on an employee’s card?

Yes.

Does my ACC Access Card expire?

Yes, an expiration date is assigned to every ACC Access Card. In addition, if the card is not used for a substantial length of time, the card will automatically void out. Security Management monitors the use of cards and will reactivate cards as appropriate.

Hourly and Adjunct ACC Access Cards will void out at the end of each semester (or earlier if requested by the supervisor). It is up to the department to inform Security Management if the employee is returning for the following semester.

Can I let a co-worker use my ACC Access Card?

No. All access card transactions are recorded and retained for security, audit, and investigative purposes. Each time an access card is used, the system records the cardholder’s identity and the location accessed or attempted to be accessed.

Allowing another individual to use your access card constitutes a security violation, as it misrepresents who is entering a secured area and compromises the integrity of the access control system. Additionally, such use may be considered the falsification of a government electronic record.

Employees are responsible for safeguarding their access cards at all times. Failure to do so may result in disciplinary action in accordance with ACC policies and procedures.

My card is not allowing me access. What might be causing the issues?

If your ACC Access Card is stored near another RFID-enabled card—such as a credit card, transit pass, or another access card—the card reader may detect multiple signals and be unable to authenticate your credentials. To avoid interference, present only your ACC Access Card when using a card reader.

Additionally, access permissions may be restricted by both location and time. Employees are granted access based on their assigned duties and approved schedules. If an access card is used outside of an employee’s authorized access hours, the system will deny entry.
