Guest Access, Liability, and Insurance Guidelines

This page provides guidance related to the involvement of guest instructors, lecturers, choreographers, and other non-ACC individuals participating in ACC-sponsored activities or using ACC facilities and equipment.

I. Liability Coverage for Guest Participants

ACC’s liability insurance may extend to individuals serving in a voluntary capacity if they are officially assigned and acknowledged by the College through an agreement. Without an assigned agreement, coverage may not apply. It is essential to confirm that the guest has a formal designation prior to any engagement.

II. Requirement to Register as a Vender

If a guest participant receives any form of compensation, they must follow ACC’s standard vendor registration procedures. These individuals will be required to submit a Certificate of Insurance meeting the College’s insurance requirements for Goods and Services Purchases.

III. Use of ACC Facilities & Equipment by Non-ACC Individuals

Any individual who is not an ACC faculty member, staff member, or student and who wishes to use ACC facilities or equipment must complete an official waiver. Please use the following form:

IV. Audience Members at College Events

Audience members attending College-sponsored public events such as performances, lectures, or showcases are considered invitees under Texas liability law. These individuals are generally covered under ACC’s liability insurance policy. However, additional insurance coverage may be required if the event includes non-ACC partners, compensated performers, or external vendors. ACC’s Risk & Fleet Management team can advise on these situations.
