ACC Access Cards: FAQs

What is an employee ACC Access Card?

Each ACC employee shall have an ACC Access Card. Each card contains the employee’s photo, legal name and identification number. Depending on your job function, the card may be for identification only, used for entering locked areas and/or the ability to unlock and lock appropriate doors.

Why does ACC require employees wear their ACC Access Cards while on campus?

To enhance the level of safety and security of the ACC community, Employee Access Cards are distributed and required to be worn by employees while on campus.

How do I get a new or replacement ACC Access Card?

The process to obtain a new or replacement ACC Access Card starts with the employee’s supervisor filling out the District Access Form.

Once this form is completed, ACC Security Management will contact the employee by email within 3 business days to receive their ACC Access Card. If the employee does not receive notice within three business days, please contact Security Management at ext. 3-7277.

Where and when can I get a new or replacement ACC Access Card?

The Security Management Office is located at the Highland Campus, Building 4000, Suite 2320. However, in most cases, we can process the ACC Access Card at the ACC Campuses listed below.

It may be possible to electronically send your access card to the CYP, EGN, EVC, RGC, RRC, RVS, HYS and SAC campuses. To have your badge printed at one of the campuses listed, stop by the Campus Managers Office to have your picture taken.

Campus Management assists in making this happen, so it is a good idea to call ahead and schedule a time.

Which department is responsible for ACC Access Card and Key issuance?

District Security Management is responsible for ACC Access Card and Office Key issuance. You can contact them at 512-223-7277.

Keys for desks and cabinets are handled by the Campus Manager’s Office on each respective campus. Campus Management does not have keys to SVC and HBC. These should be reproduced either through Facilities or locksmiths.

Who should I contact if I have additional questions about ACC Access Cards or Keys?

For questions about ACC Access Cards you can contact District Security Management.

Highland Campus – Building 4000, Suite 2320.

512-223-7277 or via email.

Monday – Friday, 7:30am – 4:00pm.

For questions about keys please contact William Torres at 512-223-7279 or via email.

How do I know if the current card I have is actually an Access Card vs. ID only?

Some employees may have older ID cards that are not capable of receiving electronic access. You can determine whether your ID card is capable of receiving electronic access by looking at the back of your card. Look for a five-digit number.

If there is not a five-digit number you will need a new card. The supervisor will then need to complete the District Access Form.

What should supervisors put on the form when unsure which door(s) an employee will need access to?

ACC is transitioning to a new access system. During this transition, Supervisors will continue to provide campus/building/room numbers to which your employee will need access to. Security Management will contact the supervisor if more information is needed to determine the appropriate access.

What is the responsibility of supervisors when their employees are leaving ACC?

Supervisors are responsible for collecting the keys and employee ACC Access Card at the time of, or before, the exit interview. The keys can be collected by the supervisor, or the supervisor can escort the employee to the campus police office to ensure that the keys are returned.

What should I do if my Key and/or ACC Access Card has been lost/misplaced/stolen?

It is your responsibility to report a lost or stolen key and/or access card to District Police immediately. An incident report will be made by the District Police and they will provide you with an incident number. Your supervisor will need this incident report number when filling out a new District Access Form. Once processed, you will receive an email notification from Security Management personnel stating your new access card and/or key is ready for pick up.

Do I need to fill out the District Access Form each time I want to change access on an employee’s card?

Yes.

Does my ACC Access Card expire?

Yes, an expiration date is assigned to every ACC Access Card. In addition, if the card is not used for a substantial length of time, the card will automatically void out. Security Management monitors the use of cards and will reactivate cards as appropriate.

Hourly and Adjunct ACC Access Cards will void out at the end of each semester (or earlier if requested by the supervisor). It is up to the department to inform Security Management if the employee is returning for the following semester.

Can I let a co-worker use my ACC Access Card or Key?

No. Every card access transaction is recorded and retained for audit and security purposes. When your card is used, it registers your information as accessing, or trying to access a secured door. If the card or key is used by someone other than the person to whom it was issued, it is a breach of security. If card access, it is falsifying a government electronic record. ACC has the option for disciplinary action if these actions occur.

My card is not allowing me access. What might be causing the issues?

If you have another RFID type card in close proximity, (like a credit card or another access card), the ACC Access Card reader picks up both signals and will not allow access.

It is crucial to understand that your ACC Access Card may have specific limitations regarding entry times to certain areas. If an employee attempts to use their card before scheduled hours, the security system will deny access.

If you feel that your access to a door is not working, consult your supervisor. If there is still a question after consulting your supervisor, contact Security Management via email.
